Can anybody help me improve the following e-mail? Thank you.

Dear Mr. Ball,

We would like to inform you that we have recently received a referral memo dated 11.05.2016 from the Department of Health, quoting a staff of management office of Millennium Building, Ms. Holtby's discontentment about the overgrown trees along Bridge Road.

To address Ms. Holtby's concern, we contacted her and conducted an investigation on the trees she referred to on 15.05.2016, we observed that all trees concerned were located along the roadside tree pits of Bottle Road, Bright Road as well as St.George Road. Details of those trees are attached below.

As those trees were confirmed by Ms. Holtby as roadside trees and their overgrown status may pose a threat to public safety, we wish you could look into the matter, carry out necessary follow-up action as and when required and furnish a direct reply to Ms. Holtby and the Department of Health afterwards. Thank you.

Our office received a memo dated May 11th, 2016 from the Department of Health, advising us of a complaint.

Ms. Holtby, a member of the Millenium Building's management office made a formal complaint about the overgrown trees along Bridge Road. The trees are located along the roadside tree pits of Bottle Road, Bright Road as well as St.George Road. Details of those trees are attached below.

We contacted Ms. Holtby, and on May 15th, 2016 we inspected the trees. As the overgrown state of these roadside trees may pose a threat to public safety, we are directing you to carry out necessary remedial action and provide updates to Ms. Holtby and the Department of Health. Please also advise me of your progress. Thank you.
