Yep, the 7th is fine. I'm guessing it will end a little earlier, though. Do we need to specify times sublime?

Its done, I have the party room reserved on May 7th from noon to midnight.

All we have to do now is set a time for it to start.

Oh, that was in answer to what you said about when it should start. (My suggestion -- noon!) (Not really, I don't think, but not sure when. 2, maybe? I think Mac's comment about how maybe it should start earlier than it would've if it had been on Saturday is good.)

sublime, Great! With the 12-hour window, most participants can come and leave as often as one wishes which is probably a good thing - IMHO.

That's when it's reserved, but I don't think the whole thing will really go for 12 hours. We just have to determine when it WILL be.

At the very least, I think there should be a core event and people can arrive early and/ or stay late, but not just completely open. I sure as heck wouldn't want to stay for 12 hours -- probably more like 3 or 4 tops, and I think that would be typical. And I would be disappointed if people I wanted to meet chose a different 3 or 4 hours than I did.

So maybe, core event starts at 1 and ends at 4, then people can stay, if they want to, as late as midnight?

How about:
Bloody Mary's etc from noon to 1 pm;
brunch/lunch starting after that. THE OFFICIAL A2K EVENT.
Beyond that, everyone is on their own to stay for as long as they want.

I wouldn't really like to stay all the 12 hours there either - but how else could I be sure to meet everyone?

That sounds good to me, rjb. I'm not sure if there would have to be set-up or not -- I was thinking noon-->one could be for set-up, if so. It could be really self-serve, I guess.

Another thought, however: it could be very useful that someone stored the cellphone and/or hotel phone numbers as well - just in case ...

(Besides, since a couple of us are longer around there than just these hours on Sunday, such might be useful to known to others as well who will probaly meet before/afterwards and plan something together?)

Setup shouldn't be too bad, It may take a few trips to bring everything down but with the guest list (see other thread) people can come in as they please.
I can provide an array of snacks and drinks but we still have to think about food. There are plenty of places to order from and have food delivered. I think pizza is a must and I can provide menus for Thai, Chinese, Mexican etc... for those that don't want pizza.

How about this as a plan for May 7th:
11:45 am...meet Sublime and have a Bloody Mary;
Noon...carry snacks and stuff to the party room and have another Bloody Mary;
Noon until one or a bit later: pre-lunch social time.
Then, at whatever time, we decide on delivery of pizza, Mexican, Thai, Chinese or whatever. We talked at one time of having something catered. Not needed. I think we are all more interested in the company than the food. Does this play?
